Chief Concierge

Summary of Position:
Under the general direction of the Senior Director and within the limits established by Hotel policies and procedures, oversee and direct all aspects of the Concierge operations. As a team member, continually strive to deliver the highest quality of service to customers, whist adhering to all legal rules, regulations and guidelines of the Hotel.

Duties & Responsibilities:
• With full awareness, manages and supervises all tasks of his/her team members
• Supervise and direct Concierge and Bell Service activities and Concierge and Bell Service team Members
• Responsible for the efficient sorting and distribution of guest’ and administration’s mail and documents received by his/her section
• Provide information pertaining to all Hotel services, local places of interests, restaurants, doctors, sightseeing tours and any other information likely to be of interest to the guests
• Always be prepared to recommend first and foremost the Hotel’s own F&B outlets before any order, making himself totally familiar with the operating hours each outlet’s specialties.
• Ensure that the lobby is always kept in an orderly fashion and that ashtrays are kept clean
• Responsible for the maintenance of the Hotel information directory and ensure that the information shown is current and accurate at all times
• Prepare efficient work schedules for both the Concierge and Bell service counters, arranging holidays and vacations, taking into consideration projected occupancy and forecasts and any large group movements, especially those with early or late arrivals or departures
• Ensure that all Concierge and Bell Service team member are neat, clean and punctual at all times and that they perform their tasks promptly and efficiently
• Handle problems associated with guests and liaise with department heads or executive management in the absence of the Duty Manager
• Act as the postmaster of the Hotel; sells stamps and ensures proper inventory
• Coordinate with Bell Service to deliver the mail for guest
• Ensure that all Concierge and Bell Service equipment are accounted for and are always in good condition
• Ensure that all Hotel flags are in order at all times
• Maintain and control the use of the luggage and storage rooms
• Perform related duties and special project as assigned
• Maintain the communication logbook of his/her section
• Conduct monthly meeting of his/her section
• Identified training needs and conducts training sessions accordingly
• Responsible for the P&L reports of his/her section
• Report directly to and communicate with the Senior Director on all pertinent matters affecting guest service and Hotel operations
• Provide functional assistance and direction to all departments
• Cooperate, coordinate and communicate with other Hotel departments as required
• Provide input for Guest Service General Meeting
• Evaluate team members and carries out performance appraisal as required
• Monitor appropriate standards of conduct, uniform, grooming, hygiene and appearance of Concierge and Bell Service team members
• Fully conversant with all Hotel emergency procedures
• Ensure that the guests depart the Hotel with a positive impression of the Hotel services
• Assume other duties assigned by Management as required
• Maintain highest level of confidentiality of any customer information
• Polite and professional in any situation where the brand image or reputation of the hotel is represented
• Ensure that all activities are carried out honestly, ethically, and within the parameters of local Law

• Knowledge & Skill: knowledge of Hotel facilities and service
• Education, Training Qualifications: Diploma holder in Hospitality Management or related disciplines
• Experience: Minimum 5 years relevant experience in supervisory level of Front Office in the Hotel industry
• Personality: Initiative, organized and detail-oriented; excellent communication, interpersonal and supervisory skills; highly sociable and outgoing
• Languages: Good command of both written and spoken English, Cantonese and Putonghua
• Other Requirement: Knowledge of anther foreign language other than the ones mentioned above is an advantage, member of Les Clefs D’Or Preferred
